How to remove a shareholder's address from Companies House

You can remove a shareholder's address from Companies House with form SR01, even if you were never a director. The catch is finding it, because older annual returns and incorporation documents listed shareholders with their addresses.

If you held shares in a UK company, your home address may be public in a document you've never opened. Shareholders and subscribers can apply on form SR01 to remove it, at £34 per document.

Most shareholders assume the register only cares about directors. For older filings that was never true, and this guide covers where shareholder addresses hide and how to find them. For the form itself, see our SR01 explained guide.

Where does a shareholder address appear on the register?

Three places do most of the damage. All of them were routine paperwork at the time, and nobody told shareholders their address was going public.

DocumentWhat it listsWhere to look
Incorporation application (IN01, or older form 10 and memorandum)Subscribers, with name, address and signatureFirst entry in the filing history
Annual return (363a, later AR01)Shareholder list with names and, in many returns, addressesEvery year of the filing history
Share allotment filingsPeople who were allotted shares in some older returnsFilings around a share issue

Annual returns were replaced by confirmation statements in 2016. Our guides to old annual returns and incorporation documents go through what each form shows in more detail.

Which shareholder documents can Companies House remove?

The official list covers examples, and GOV.UK says plainly that it's not exhaustive. On the shareholder side, here's what we verified on the list of documents Companies House can suppress.

Some forms you'd expect to see, such as SH01 or the AR01 for a limited company, aren't named on that page. That doesn't settle the question either way. Companies House decides each application, and the sensible move is to email dsr@companieshouse.gov.uk with the document type and date and ask before you pay.

Were you a director too, or is the company dissolved?

Two questions change what you do next.

Which route are you on?

Were you also a director, secretary or PSC?

Yes: Check those filings too. Appointment forms, change-of-details forms and PSC notifications are separate documents. Our [guide to removing an address after resigning](/guides/remove-address-companies-house-after-resigning) covers them.

No: Only the shareholder lists and subscriber details matter. Carry on to the next question.

Has the company been dissolved?

Yes: You can still apply. The records stay on the register after dissolution. If your home was the registered office at dissolution, wait 6 months first.

No: The company is live. Check whether your home is the registered office, because Companies House won't remove a live company's current one until it's changed.

Is the home address still your correspondence address on a live role?

Yes: You'll need a replacement address on the form.

No: Leave the replacement section blank.

How to find your shareholder address in the filing history

Companies House search won't show it for you. Shareholder addresses sit inside the documents, so you have to open them.

  1. 01List the companiesWrite down every company you've held shares in, including ones you left years ago and ones that are now dissolved.
  2. 02Open the filing historyGo to the company page on Find and update company information and select the filing history tab.
  3. 03Start with the incorporation documentsThey're at the bottom, oldest first. Check whether you were a subscriber and whether your address is on the page.
  4. 04Open each annual return in turnFilter to annual returns and open every one. The shareholder list is often near the end, and the address can differ from year to year.
  5. 05Record the document type and dateYou'll need both for the SR01. The form lists documents individually, and the fee is £34 for each one.

That last point adds up fast. A shareholder who appears in ten annual returns has ten documents to list. You can always start with our free scan instead, which reads every filing from 2003 onwards, including scanned paper forms.

How to remove your shareholder address from Companies House

The process is the same as for directors, and we don't re-explain it here. Our how to complete SR01 guide walks through each part.

For shareholders the points to watch are these:

If you'd rather not do it by hand, our removal service scans the register and files the SR01 for you. Prices are on that page.

Questions

Is a shareholder's address public on Companies House?

Not on the current register of shareholders, which the company keeps itself. Your address can still be public in older documents, such as annual return shareholder lists and the subscriber details in the incorporation documents. Newer filings generally show a shareholder's name and shareholding but no address.

Can a shareholder who was never a director apply to remove their address?

Yes. GOV.UK's list of documents Companies House can suppress names members and subscribers as people who can apply for forms such as the old 363a annual return and the IN01 incorporation application. You apply as an individual on form SR01 and Companies House decides each document.

Do I need to be a current shareholder to apply?

No. The documents are tied to the time you held shares or signed as a subscriber, so former shareholders can apply too. That matters when you sold up years ago and the old filings are still on the register.

Does a share allotment return show shareholder addresses?

Some older share filings list the people who were allotted shares, with addresses. GOV.UK's list is made up of examples, not every form, so check any SH01 or older return that shows your address and ask Companies House about it at dsr@companieshouse.gov.uk before you pay.

What if the company has been dissolved?

You can still apply, because the records stay on the register after dissolution. Companies House has said it is reviewing how long it keeps them. If your home was also the registered office when the company dissolved, there's a 6 month wait after dissolution first.

Will I need a replacement address?

Usually not. A replacement is only needed if the home address is still your current correspondence address in a live role. For an old shareholder list or a former subscriber entry, the address is simply removed.
